Setting Agendas for Counterpart Meetings

AGENDAS

Coaches and Facilitators will meet each month to collaboratively plan the agenda for each Counterpart Cohort. Counterpart meetings should follow the general structure below, although they can vary based on the needs of the group as decided by the Coach and Facilitator. Examples of how you can set up agendas in the discussion forum can be found in this appendix.

Coaches and Facilitators can choose reflection prompts and resources for their Counterpart meetings from the Resource Sheets, or bring in other resources from Toolkit, or their own experience.

  • Opener: 5-7 minutes dedicated to building a sense of relationship and community. Openers can be sourced from this list or can be generated by the Coach or Facilitator.
  • Reflection/Sharing Prompts: ~45 minutes dedicated to reflection and sharing prompts. This can include facilitating protocols from Toolkit, asking folks to share based on what has emerged from different Copilot meetings, or reflecting on a prompt. Because we want each school leader to be able to share and go deep, there should be no more than three reflection or sharing prompts in a meeting. For a complex topic, one prompt may be sufficient.
  • Updates: 5-7 minutes dedicated to any news or updates about what is happening for each school leader in the cohort (e.g. major accomplishments or challenges that are new). Facilitator will post the prompt as a discussion topic in the group forum, and each school leader should type a reply. Anything noteworthy can be verbally called out by the Coach or Facilitator. If the Facilitator wants to draw attention to any upcoming Crowdsource events or other updates shared in the discussion feed, that happens during this portion.
  • Closer: 3 minutes or less dedicated to identifying concrete takeaways from the meeting. Can be as simple as each person sharing one thing they learned or plan to do based on the conversation.

Counterpart agendas will be shared during the meeting through the Counterpart Cohort Discussion Group in the Portico Site. This will allow people to share in real-time (you may need to refresh) and easily connect to Toolkit items or other resources from the Portico site. The Facilitator will pin any discussion items identified for the day so they stay at the top of the discussion forum.
